Most Common Reason Players Are Turned Away

How to Get Your Player Pass

No pass, no play. It's that simple. This guide covers everything β€” first-time registration, annual renewal, lost pass replacement, and what to do when the tournament is in three days and the pass hasn't arrived.

What Is a Player Pass?

A player pass is an official registration card issued by your governing body (US Club Soccer, USYS, USSSA, or your national FA). It proves the player is registered, eligible to play, and covered by the organisation's insurance for the current seasonal year.

At every sanctioned tournament, the referee checks player passes before each match. If a player cannot produce a valid, current-year pass, they cannot take the field β€” no exceptions, no matter how far you've travelled.

Getting a Pass for the First Time

You do not apply for a player pass directly β€” your club handles this as part of the registration process. When your child joins a club, the club registrar registers them with the governing body and issues the pass.

1
Join a registered club

The club must be affiliated with a recognised governing body (US Club Soccer, USYS, USSSA, or your national FA). An unaffiliated club cannot issue a valid player pass.

2
Complete the club's registration form

This typically includes the player's full name, date of birth, photo, and parent/guardian contact details. The photo is important β€” it appears on the pass and is used for identification.

3
Pay the registration fee

Registration fees vary by club and governing body. The fee covers both club membership and the governing body registration. Ask your club registrar what is included.

4
Wait for the pass to be issued

Processing times vary: 3–7 business days for US Club Soccer (GotSport), 5–10 business days for USYS state associations. Digital passes may be available sooner.

5
Confirm the pass details

When the pass arrives, check: correct name spelling, correct date of birth, current seasonal year, and a clear photo. Errors on the pass can cause problems at tournament check-in.

Annual Renewal β€” Don't Miss the Window

Player passes are issued for a seasonal year, not a calendar year. The exact renewal window depends on your governing body and state association, but most US organisations run on an August–July cycle.

Common Mistake

Many parents assume the pass auto-renews. It does not. If your child's club does not re-register them at the start of each season, the pass expires and they cannot play in sanctioned tournaments.

Check the expiry date now

Look at the pass card β€” the seasonal year is printed on it. If it shows last year, it needs renewing before the next tournament.

Contact your club registrar in August

Most clubs handle renewals at the start of the season. If you haven't heard from your club by September, follow up proactively.

Allow 2 weeks minimum

Do not leave renewal to the week before a tournament. Processing can take up to 10 business days.

Lost or Damaged Pass

A lost or damaged pass is not the end of the world β€” but act immediately. Do not wait until the day before the tournament.

1
Check for a digital version first

Many governing bodies now issue digital passes accessible via the registration platform app (GotSport, etc.). Ask your club registrar if a digital pass is available β€” this is the fastest solution.

2
Contact your club registrar

They can request a replacement pass through the governing body's registration platform. This typically takes 3–5 business days.

3
Confirm with the tournament

Some tournaments accept a printed confirmation of registration as a temporary substitute while a replacement pass is processed. Contact the tournament director to ask β€” do not assume.

4
Keep a photo of the pass on your phone

Once you have the new pass, photograph both sides and save it to your phone. This is not a substitute for the physical card, but it can help resolve disputes at check-in.

Tournament in 3 Days β€” Emergency Steps

Do these in order, right now. Do not email β€” call.

1
Call your club registrar immediately

Explain the situation. Ask specifically: Is a digital pass available? Can the pass be expedited? What is the fastest option?

2
Call your state association office

For USYS: find your state association at usyouthsoccer.org. For US Club Soccer: contact GotSport support. Ask about same-day or next-day digital pass options.

3
Contact the tournament director

Explain the situation in writing (email) and by phone. Ask if they have a documented grace process. Some tournaments accept a printed registration confirmation with photo ID.

4
Document everything

Keep records of every call and email. If the pass issue is due to a processing delay (not your fault), documentation may help the tournament director make an exception.

Prevention is everything. After this tournament, set a calendar reminder for August 1st every year: "Check player pass renewal."

Frequently Asked Questions

My child's pass expired last month. Can they still play?

No. An expired pass is not accepted at any sanctioned tournament, regardless of how recently it expired. Contact your club registrar immediately to renew β€” do not wait until the week of the tournament.

We lost the physical pass card. What do we do?

Many governing bodies now accept digital passes on a phone. Check with your club registrar whether a digital version is available. If the tournament requires a physical card, your club registrar can request a replacement through the registration platform.

The pass shows last year's photo. Is it still valid?

If the pass is for the current seasonal year and all other details are correct, it is generally still valid β€” the photo is for identification purposes. However, some tournaments are strict about this. Confirm with the tournament director if you are unsure.

My child is registered with US Club Soccer but the host team is USYS. Will the pass work?

Not automatically. Most tournaments require the guest player's pass to match the same sanctioning body as the host team. The receiving team may need to register your child under their sanctioning body for the event. Confirm this with the receiving coach before committing.

We are travelling internationally. Does the pass cover us abroad?

Your player pass establishes registration eligibility but does not automatically provide insurance coverage abroad. Reputable international tournaments carry their own event insurance. Confirm this with the tournament organiser before travelling.

How do I know which governing body issued my child's pass?

Check the pass card itself β€” it will show the issuing organisation's logo and name. If you are unsure, ask your club registrar. The club's affiliation determines which governing body issued the pass.

The tournament is in 3 days and the pass hasn't arrived. What do we do?

Call β€” do not email β€” your club registrar and state association office immediately. Ask specifically about digital pass options and expedited processing. Also contact the tournament director to explain the situation β€” some tournaments have a grace process for documented cases.
